Insider Secrets: What We Teach New Travel Agents About Planning

Professional travel planning isn’t just about looking at pretty pictures of beaches. It’s about logistics, risk management, and psychology. Here is the pillars of agent training that you can apply to your own trips.

Qualify the Traveler

Agents never start planning without “qualifying” the client. This means understanding the why behind the trip. Is this a relaxation trip to recover from burnout? Or an adventure trip to feel alive? A mismatch here ruins the trip.

Ask yourself: “How do I want to FEEL on the flight home?” Exhausted but happy? Rested? Educated?

Logistics Before Aesthetics

Amateurs pick a hotel because the lobby is pretty. Pros pick a hotel because it’s a 5-minute walk from the train station. We teach agents to map out the “friction points”—airport transfers, check-in times, getting to dinner.

If a hotel is beautiful but requires a $50 taxi every time you want to leave, it’s a bad booking.

The Buffer Rule

Never book the last flight of the day. If it cancels, you are stuck overnight. Always leave 3 hours between international connections. We assume things will go wrong and build in buffers so that when they do, it’s an inconvenience, not a disaster.

Documentation is King

Agents double-check dates. Then they triple-check. They ensure names on tickets match passports exactly (middle names included!). They check visa requirements 3 months out.

Think Like a Pro

By adopting the “verify everything, assume nothing” mindset of an agent, you safeguard your investment and your sanity.
